By implementing the ICZ e-file solution in the company of Západoslovenská energetika, a.s. (hereinafter referred to as “ZSE”), the activities related to the administration of the documentation were automated and clarified in three divisions of the company: Západoslovenská energetika, Energia and Distribúcia. Keeping records on and processing mail and documentation related to it thus takes place only in electronic form, and everything can be traced back by all the entitled users in the respective division thanks to the central document storage.
Documents delivered to ZSE are registered at filing offices in the individual subsidiaries, where the records are subsequently scanned as well. Each scanned document is marked with a barcode generated by the system upon the registration of the document in the document administration system by the user. Each document is then automatically attached to the respective record in the documentation system based on its barcode.
As part of the solution development, the ICZ e-file system was extended to include other applications and functions and user comfort was thereby increased. For instance, the system allows the basic information about the records to be searched for in the entire database according to the barcode, regardless of user rights or consignment sorting in the postal receipt.
